Summary:

We are searching for an Ambulatory Services Representative – someone who works well in a fast-paced setting. In this position, you’ll provide excellent customer service as the first contact for patients, providers and staff accessing ambulatory clinics. You’ll be responsible for expediting the outpatient check-in and check-out processes by reviewing appointment status using electronic appointment system to view information regarding appointment, insurance, and history. Lastly, you will need to collect pre-visit payments and communicate with the clinic liaison regarding factors impacting the patient visit and general clinic-patient flow.

Responsibilities :

Job Duties & Responsibilities

  • Welcomes the patient and family and responds to customer questions with prompt information and/or services related to appointment status, wait time, or unanticipated problems
  • Informs staff and providers of delays in patient flow that are occurring outside of clinic
  • Participates in clinic meetings to assist in planning optimal patient flow for session/day
  • Obtains and verifies patient’s demographic data (patient name, guarantor, insurance, address, telephone, etc.) for each encounter
  • Accurately obtains and collects appropriate up-front fees (co-pays, fees for services) from patient according to pre-admission notes in enterprise management system
  • Documents receipts of funds from patient (gives copy to patient at time of transaction) and files receipt of funds in department files
  • Obtains signatures on face sheet to document patient/guarantor understanding of release of information for billing purposes, general consent to treat, statement of financial responsibility and acknowledgment of testing in the event of healthcare worker exposure
  • Ensures that requisitions have necessary clinical, demographic, billing and payor information
  • Directs patient to next point of service (next appointment, lab area, welcome desk, and cashier)
  • Performs opening and closing business processes for clinic floor/welcome desk

 

 



Qualifications:

Skills & Requirements

  • High school diploma or equivalent
  • Two (2) years of related experience in a customer service, administrative/business, healthcare, and/or teaching/training role(s)
  • Knowledge of the managed care industry, appointment scheduling, related medical terminology and customer service concepts
  • Ability to operate proficiently a personal computer and basic office equipment
  • Ability to demonstrate interpersonal skills and good verbal communication skills
  • Ability to demonstrate quick decision-making and self-initiated work behaviors
  • Bilingual in Spanish and English is preferred
  • Bachelor’s Degree is preferred
  • Experience in a healthcare setting or customer service focused industry is preferred
