We are searching for a Department Secretary - someone who works well in a fast-paced hospital setting. In this position, you’ll provide secretarial and office services support for the department.

Responsibilities :

  • Orders and maintains appropriate par levels of office supplies and managing within budget
  • Prepares invoices for payment of services rendered
  • Completes assigned tasks for onboarding of new employees
  • Maintains a database of providers’ licensure and credentialing information, including keeping an up to date CV on file
  • Develops and implements a system to notify providers of upcoming licensure expirations and prepares documents for renewals
  • Demonstrates positive and effective interpersonal skills when interacting with staff, providers, visitors, patients/families, and others
  • Maintains confidentiality at all times
  • Demonstrates the ability to problem solve, identifies appropriate resources, and adapt to ongoing change with a professional and supportive attitude
  • Coordinates meeting arrangements by contacting attendees, securing the location, equipment and hospitality requirements as requested
  • Facilitates travel arrangements including processing registrations for meetings/conferences or seminars, flight schedules, hotel and ground transportation as needed
  • Assists other leaders in the department with meeting and travel arrangements, as necessary




  • High School diploma or GED
  • Two (2) years of secretarial experience, preferably in a healthcare environment
  • Ability to communicate effectively and use good diction, use personal computers with proficiency in word processing, spreadsheet, and other applicable software, type a minimum of 40 wpm, and use other office equipment
