We are searching for an Administrative Assistant - someone who works well in a fast-paced hospital setting. In this position, you’ll independently perform routine secretarial and administrative support as well as specialized planning, organizing, scheduling and tracking duties for the Assistant Directors of Ambulatory Administration.

Responsibilities :

  • Provides office Administrative Support
  • Transcribes, edits, types, proofreads and creates documents to insure timely and accurate communication between departments and outside organizations according to deadlines established by the Assistant Director
  • Establishes and maintains an efficient system for filing and retrieval of documents on a weekly basis and in a timely manner
  • Works on Special Projects
  • Coordinates, maintains and schedules special meetings and in-services for the Assistant Director of Ambulatory
  • Provides support to the Assistant Director for special projects and committees
  • Performs other essential job-related duties
  • Participates in Hospital performance improvement activities (committees, in-services, task forces), offers written or verbal recommendations and participates in the development of team goals on a yearly basis
  • Attends staff meetings and/or reads minutes 90% of the time to keep abreast of current information as documented in the meeting sign-in sheets
  • Maintains office supply inventory
  • Orders supplies and equipment and prepares requisition and check requests for timely payment of invoices
  • Maintains inventory of supplies at an appropriate level for daily operations


  • High school diploma or equivalent
  • A minimum of three (3) years of secretarial experience, preferably in a healthcare environment
  • Experience with word processing, spread sheets, graphics software
  • Two (2) years of college preferred
