We are searching for a Department Secretary – someone who works well in a fast-paced setting. In this position, you’ll provide secretarial support for the Biomedical Engineering Department.

Responsibilities :

  • Provides call center phone coverage for service call dispatching per service call process
  • Answers all incoming calls within two rings in a professional manner
  • Takes adequate information for documenting all Service calls and promptly communicates it to proper person, notifying Manager of delays or problems
  • Processes daily T&A and Payroll in conjunction with the other Secretary
  • Updates department personnel T&A records and overtime log bi-monthly
  • Reviews technician hours from T&A report for use in department billing once a month
  • Maintains training records and training database.
  • Updated fall back procedures documentation yearly
  • Complete manual portions of Period End Processing and Billing per departmental processes
  • Creates agendas and takes minutes for monthly secretary and department meeting
  • Takes requests, prepares, and hands out AV equipment. Follows up on non-returned equipment per process
  • Provides secretarial, Time & Attendance, computer skills and other cross-training to the other secretary as needed under the supervision of the Director


  • High school diploma
  • Professional office and secretarial training is preferred
  • Minimum of 1 year of office/secretarial experience is required
  • Ability to utilize personal computers, word processing and spreadsheet applications, and database software
  • Knowledge of basic secretarial functions, time and attendance reports, filing, and computer word-processing, database and spreadsheet software
