Summary:

To assist departments in developing project delivery design and execution methodologies related to small to medium in-house
moves and relocations. Works with vendors and department contacts to ensure all aspects of reconfiguration requests are
met. Also ensures vendor compliance and oversight of related budgets and purchase requisitions.



Responsibilities :

Accountability A: FUNCTIONS AS AN IN-HOUSE COORDINATOR
• Plans and implements large departmental moves and relocations (e.g. more than 20 workspaces/staff members) including
furniture changes, workstation adjustments and equipment for operational projects.
• Develops scope of work based on customer needs consistent with standards and objectives of Texas Children’s.
• Develops budget utilizing departmental tools for operational projects to assist customer in identifying and obtaining
funding for move logistics, system/space commissioning, furniture/equipment procurement and deployment and
operational make-ready needs.
• Collaborates with Interior Design team to develop schematic and design layouts for furniture reconfiguration requests.
• Solicits proposals from furniture vendor, general contractors and move/relocation vendors.
• Generates online purchase requisitions in PeopleSoft system for move vendor quotes.
• Develops schedule utilizing departmental tools to outline and communicate timeline to department and project delivery
team.
• Coordinates internal and external resources to assist in planning, documenting and executing project delivery plan in
accordance with customer needs, facility standards and regulatory requirements.

• Documents updates to work order progress within the INFOR system for operational requests on a weekly basis.
• Participates in RFS review/move planning meetings to ensure alignment with move schedules and objectives.
• Continually reviews progress of work against approved scope, budget and schedule and regularly reports status to project
team and leadership.
• Provides on-site support during office/equipment moves.
• Ensures vendor compliance with building standards and policies, updates move information in database system and saves
furniture layouts and move documents on shared drive.
• Provides on-site support during office/equipment moves. Verifies with customer that the intended scope was met and
documents outstanding issues requiring follow up to address any issues or problems.
• Approves submitted invoices in a timely manner for completed work to ensure vendor payment.
Accountability B: Manages internal and external relationships.
• Develops positive working relationships with project delivering team members and end user groups.
• Works with departments to identify unique move requirements and develops creative solutions.
• Works with internal resources and/or logistics consultant in development of move plans for each department.
• Serves as primary liaison with end user groups for move activities.
• Responds promptly to internal and external customer requests.
• Coordinates services in sequence with all project vendors.
• Manages and monitors progress of move to identify and improve methods of delivery within the departments.
• Works collaboratively with the project manager to determine access restrictions.
• Works collaboratively with program management (e.g. Interiors, Art, and Graphics) team members.
• Collaborates with IS, Telecom, Biomed, furniture vendor and move vendor(s) on all equipment relocations.
• Assists with security clearances for all Logistics vendors working in TCH facilities.
• Participate in various facilities projects, space management and other initiatives in support of Logistics program, project
delivery, and process improvements. Participation may be as a project team member, subject matter resource, project
coordinator, etc.

Qualifications:

 

  • 1 year experience coordinating projects in the design and/or construction industries
  • Minimum of Associate's Degree Required
  • Project experience in healthcare preferred

• Ability to independently adapt to changing priorities, deadlines and customer needs
• Demonstrated project management experience
• Ability to build effective long-term professional relationships both within and beyond the hospital
• Ability to work from an initial scope and progress the project through delivery and implementation
• Demonstrated experience and understanding of job-required software applications and printing methods
• Ability to work on multiple projects simultaneously
• Strong organizational and communication (both written and verbal) skills
• Ability to perform detailed work with a high level of accuracy and attention to detail
• Ability to work effectively with others as part of a team
• Demonstrated proficiency in MS Office Suite and Oracle
• Understanding of architectural scales and drawings - able to read and interpret architectural and shop drawings
