We are searching for an Appointment Coordinator – someone who works well in a fast-paced setting. In this position, you’ll handle incoming calls and requests from patients, specialty clinics, and physicians for referrals and managing appointments, including scheduling, rescheduling, canceling, and making adjustments to surgical case postings for multiple patient care teams throughout the hospital system utilizing a computerized registration and scheduling system, and multiple software applications. You will need to identify unique patient identification number (medical record number) to track a patient’s care and facilitate the billing of hospital charges, to register patients and obtain correct demographic and insurance information (this includes parent/guardian information). You will also need to educate and communicate to patient families or responsible parties arrival times, how to cancel and reschedule an appointment, and all other necessary information to streamline the process for patient arrival. In this position, you will also use multiple software applications to create and maintain reports for the department.

Responsibilities :

  • Demonstrates excellence in oral communication and proper phone etiquette as the first contact point for referring physicians by answering calls and appropriately screening and routing the call to the designated coordinator
  • Requests records from referring physicians; obtains the necessary authorizations per HIPAA guidelines
  • Assists the coordinators in conducting predetermination of coverage and preauthorization of diagnostic and treatment procedures as directed
  • Faxes reports, physician consult notes or referral letters and clinical coordinators’ letters to referring and primary physicians as directed
  • Demonstrates competence in using Outlook, Logician, ADT/IDX system, Microsoft Word, Excel, and computer scheduling software
  • Obtains and/or verifies the most current patient demographic (address, visit guarantor, phone, emergency contact number, etc) and insurance information
  • Explains the referral or authorization requirement mandated by the payer to patient or responsible party and how they are expected to facilitate the process of requesting the referral from their primary care physician (PCP)
  • Correctly schedule and confirm patient appointments over the phone and in person
  • Responsible for contacting the appropriate health care provider regarding schedule changes
  • Builds positive working relationships with other members of the team with whom he/she daily interacts, including but not limited to: the physicians academic and assistants, billing and collection team, office support staff, and clinic staff
  • Demonstrates proficiency in office software and self-initiated work behaviors


  • High School Diploma or GED
  • Two (2) years’ experience with appointment scheduling and coordination or other related healthcare experience
  • Knowledge of basic medical terminology
  • Ability to demonstrate excellent customer service skills, good verbal and written communication skills
  • Utilizes interpersonal skills and possesses critical thinking skills
  • Maintains confidentiality
  • Ability to use a networked personal computer that facilitates access to the Hospital’s main frame system
  • EPIC experience, highly preferred
