Summary:

We are searching for an Administrative Assistant — someone who works well in a fast-paced setting. In this position, you’ll perform routine secretarial and administrative support as well as participate in specialized planning, organizing, and scheduling. You will also support the leadership team and serve as the liaison for departmental administrative operations.

Responsibilities :

Job Duties & Responsibilities

  • Maintain office supply inventory at appropriate levels and track the expenses against the budget
  • Assist the administrative staff to support satellite locations in Tyler and Beaumont
  • Prepare meeting agends, documents, and packets in a timely manner
  • Process, sort, and distribute mail
  • Maintain current departmental job descriptions, departmental rosters, phone trees, and security access files
  • Coordinate resources and technology required for meetings and events
  • Create and document a filing system methodology
  • Manage the calendar and schedule for the director and minimize scheduling conflicts
  • Prepare travel arrangements as needed
  • Prepare expense reports for the director as needed
  • Monitor state responses and reports to ensure timely submission for department
  • Prepare and submit all related reports
  • Maintain contracts and ensure our guidelines for contract management are met


Qualifications:

Skills & Requirements

 

  • High school diploma or GED required
  • 5 years’ experience in administrative support
