We’re hunting for a part-time Lead Ambulatory Service Representative with the Outpatient Specialty Care Cy-Fair clinic, someone who’s ready to be part of the best ranked children’s hospital in Texas, and among the best in the nation. In this position, you will work directly with licensed providers or a group of providers in a virtual or non-virtual care setting. The Lead Ambulatory Services Representative assists the care team by coordinating complex patient care activities, administering the patient scheduling system for the designated provider(s) and supporting patient flow and serving as an expert or MD liaison for clinic unlicensed functions and patients/families.

Job Duties & Responsibilities
- Conducts patient admission process, including check-in/welcome desk, PAR's, registration, past pending.
- May ensure patient is oriented to the virtual visit process and has all technology set up to successfully complete.
- Performs patient registration procedures per department process.
- Ensures that all necessary patient forms are provided and filled out for the clinic visit
- Communicates with patients, staff and providers regarding patient arrivals, delays, and clinic processes.
- Alerts staff and providers of any changes or discrepancies in patient’s scheduled appointment
- May refer all patients with no or inadequate funding to the financial counselor with zero reported complaints.
- Changes status of all appointments daily to reflect arrived, cancelled, no-show, or rescheduled status.
- May maintain an organized filing system of current referrals in progress and already appointed, communicates all missed appointments to PCP and destroy missed referrals after one month.
- May review new referrals with provider of the day regarding appropriate appointment status. Reviews provider schedule for open slots to appoint patients. Contact Central Scheduling with parents to schedule an appointment.
- Assists, as needed, licensed staff with the non-financial aspects of the inpatient admission process, e.g., calls escort, helps with paperwork as needed.
- May perform closing procedures (i.e. - reconciling fee receipts, completing deposit notification forms, reconciling petty cash, balancing the credit card machines, completing batch reports for Texas Children’s and Baylor, making deposits) in accordance with department processes.
- Provides insurance authorization and collection of cash and deposits for hospital.
- Coordinates schedules for clinic.
- Performs charge entry and reconciliation.
- Provides appropriate customer service and communication to patients and families.
- Provides basic office support which may include ordering and maintaining office/clinic supplies; maintaining office equipment; managing correspondence; copying, faxing, mailing and filing documents; and collecting and distributing mail.
- Ensures efficient patient flow and room management.
- Assists in guiding the work of the Ambulatory Services Representatives and Senior Ambulatory Services Representatives
Skills & Requirements
- Required H.S. Diploma or GED
- Required 3 years' Experience in a healthcare setting with preferred pediatric and supervisory experience
